Aim to Digitize – Embracing the Power of Microsoft 365

The Information Management (IM) Campaign is focused on promoting the IM profession and highlighting the impact IM has on business activities and transparency.

This year’s theme is Aim to Digitize – Embracing the Power of M365 and provides guidance to Provincial Government departments and its agencies, boards and commissions on how Microsoft 365 can help them work smarter.

The Office of the Chief Information Officer (OCIO) supports Provincial Government departments and its agencies, boards and commissions with IM learning resources to remind staff about the importance of an IM-conscious work environment.

IM Tips
M365 documents can be easily uploaded for collaboration and co-authoring amongst team members. Multiple employees can open and edit the same file simultaneously and see real-time changes as they are made. You can see who is collaborating and add/remove people and permissions at any time. You can grant access for a short period of time and then remove it once you completed the collaboration. A reminder we all have the individual accountability.
Content should be professional in tone and written with the same care as any other form of government communication while using M365. It is recommended to retain records, and it is equally important to regularly dispose of records. M365 has functionality for both.
M365 offers the same functionality on mobile as it does on a laptop/PC. Like all records, records in M365 are subject to the Management of Information Act (MOIA), the Access to Information and Protection of Privacy Act, (ATIPPA, 2015) and is discoverable for legal and audit purposes.
When sharing your screen and/or programs via Teams ensure that you and the individuals receiving the shared information have the necessary authority to access and disclose the information.
