CRIMS: 05 – Asset Management: 05-02 – Asset Maintenance

Description: Use for records relating to information about daily upkeep and repair of equipment and furnishings. Includes: standing offer agreements, work orders, price lists, and suppliers’ catalogues. Examples include technical specifications, equipment catalogues, and vendor literature.

Filing Guidelines: Records are to be securely retained on site until final disposition. It is the responsibility of the Departments to ensure all copies, regardless of media, are securely disposed when applicable. Departments should retain a permanent copy of the record of disposal.

Function: Asset Management

GNL OPR: Department head or designate that is responsible for the assets within a public body.

Departmental OPR: Department head or designate that is responsible for the assets within a public body.

Retention: Superseded / Obsolete (SO)

Disposition: Destroy

Media: Paper copies/network drives/e-mail

Use for records relating to vendors.  Records include:

  • Vendor Contact Information
  • Promotional Material
  • Company Profile

42 Replacement/Evaluation Files

Use for records relating to the evaluation, repair and/or replacement of fixed assets.  Most repairs are completed under warranty. Records include: Request for repair, Delivery Slips. If it is a cost repair, records would also include a quote for the repair cost and invoice.
