C-RIMS: 04 – Human Resources Management: 04-05 – Position Establishment, Classification and Organizational Design

Description: Use for record related to information generated or received by departments, agencies or other entities relating to identification, requesting or consultation regarding the duties, classification or compensation or organization structure or re-alignment of that structure within their entity. These departmental records include all working notes, research information, communications, etc.

Filing Guidelines: Records are to be securely retained on site until final disposition. It is the responsibility of the Departments to ensure all copies, regardless or media, are securely disposed when applicable. Departments should retain a permanent copy of the record of disposal.

Use for records relating specifically to the information gathered in analyzing Treasury Board submissions requesting new positions, re-alignment of positions or re-alignment of structures within an organization that impacts position management.

All current official position establishment records now reside with TBS. Any copies of the records can be considered transitory and should be destroyed.

Use for records relating to the classification review of existing positions that have been previously classified.

Updated listings of organizational charts outlining divisional structure, position title, classification and hierarchical relationships in Departments.
