ROLE UP YOUR RIM, ROCK YOUR ROLE !

April is recognized internationally by industry and government as Information Management Month (IM Month). The Management of Information Act outlines IM requirements for the Government of Newfoundland and Labrador and public bodies. This year, the OCIO is focusing on the roles and responsibilities which employees and contractors have in managing and protecting government information.

This year’s theme for IM Month, is “Role Up Your RIM (Records and Information Management), Rock Your Role”.

IM Month – TIPS

Did you know when working remotely and using a government laptop or tablet, you should ensure that you are connected to a trusted and secure wireless network? Did you know when working remotely and performing sensitive or business critical activities, you should connect with a Virtual Private Network?
Did you know that one of the roles the Office of the Chief Information Officer has, is to administer the Management of Information Act and establish policies, directives, standards, guidelines and best practices for departments and public bodies? Did you know, according to the Management of Information Act, all employees and contractors have a legal obligation to manage and protect the information they maintain on behalf of departments and other public bodies?
Did you know, everyone using the government’s email system must understand the requirements for managing email? This includes, transferring email messages which constitute a government record, to an appropriate recordkeeping system, and where appropriate disposing of transitory records. Did you know, you should create records, document department and other public body decisions, as a regular course of business?
Did you know, there is an information management and protection policy which applies to all employees and contractors, who receive, create or manage information on behalf of the Government? Did you know, use of a personal or other non-government email account, to conduct work on behalf of a department or other public body, is not permitted?
Did you know you are responsible for the activities performed using your government username and password, including information protection? Did you know, when sharing information, it is important to ensure that it is only shared with people who require it for government business purposes?
Did you know, the Management of Information Act sets out specific rules which must be followed before records are legally destroyed? Did you know, when an employee transfers to a new position, changes roles, or leaves a department or public body all government records, regardless of format, must be transferred to the employee’s manager or the department’s Director of Information Management?
