Description: Use for records relating to injury or damage caused by vehicles. Includes damages or injury incurred by staff en route to, from, or at work, and includes accident prevention.

Filing Guidelines: Records are to be securely retained on site until final disposition. It is the responsibility of the Departments to ensure all copies, regardless of media, are securely disposed when applicable. Departments should retain a permanent copy of the record of disposal.

Departmental OPR: Department head or designate that is responsible for the vehicle fleet within a public body.

Retention: Event Date (ED) + 1 CY

Disposition: Destroy

  • Police Report
  • Insurance Information
  • Injury Report
  • Workplace NL Reports
  • 3rd party solicitor letters
  • Statement of Claim

Event Date equals the date of the settlement of a claim including the conclusion of related court cases and/or appeals.
