Submitting Documents

Forms and documentation requirements depend on your particular situation.

Students can submit forms by email (studentaidmailbox@gov.nl.ca), fax (1-709-729-2298), or mail. Please include the last three digits of your Social Insurance Number in your email. 

If you fax or email a document, it is not necessary to mail the original.

Note: StudentAidNL will email information regarding the Master Student Financial Assistance Agreement (MSFAA) to first-time borrowers once StudentAidNL has assessed their application and determined they are eligible to receive student financial assistance funding.

Supplementary Application Form for Full-Time Study
Required by students who have received student financial assistance for two semesters during the current academic year (August 1, 2023, to July 31, 2024) and require assistance for the third semester.

Note: Students who have not received student financial assistance for the current academic year must complete the regular full-time application available online. A full-time application is required if there is a change in marital status or a change in the Educational Institution.

Application for Grants for Services and Equipment for Students with Disabilities
Students with disabilities who have exceptional education-related costs associated with their disability (such as costs for hiring tutors, note-takers or interpreters; or costs for braille-related expenses or technical aids), may receive up to $20,000 per academic year through the Canada Student Grant for Services and Equipment for Students with Disabilities.

Additional funding is available through the Provincial Grant for High Need Students with Disabilities if required. Once the application is processed, the student will receive written notification of their eligibility. Students applying for this grant must also submit the Verification of Eligibility Form when applying for financial assistance.

Income Confirmation Form (ICF)
Required to confirm the student’s income during the pre-study period. Depending on the date the student applies, they may not have to submit this form (please see below for more information regarding the pre-study period).

Note: Confirming pre-study income is a critical part of the application process. The ICF verifies the student’s actual pre-study income; if this differs from the amount estimated on their application, it may affect the available funding for future semesters.

Failure to submit the ICF may result in the student’s provincial student grants being converted to a loan, and the student will not receive funding in subsequent semesters.

Medical Appeal Form
The student and a medical professional must complete this form if the student is requesting the removal of an overaward from their file due to a medical withdrawal.

Parents’ Declaration, Consent and Signature Form
Required for dependent students.

  • 2023-2024  (if your program starts after July 31, 2023)
  • 2024-2025  (if your program starts after July 31, 2024)

Program Cost Form (Full-time)
Required for full-time applications if students are attending an educational institution other than Memorial University, Marine Institute or the College of the North Atlantic, unless requested. A representative of the educational institution the student is attending must complete the form.

Program Cost Form (Part-time)
Required for part-time applications. A representative of the educational institution the student is attending must complete the form.

Provincial Student Grant Eligibility (Out-of-Province Students Only)
Required for students studying outside the Province to determine their eligibility for the provincial student grant.

Reduced Course Load Request Form
Required for students requesting an exemption from the requirement to enroll in at least 80% of a full course load.

Student Appeal Form
Required for students requesting to have their need assessment reviewed.

Student’s Consent to Release Personal Information Form
Privacy legislation limits with whom StudentAidNL can discuss a student’s file. This form is required if a student consents to have the personal and financial information in their file shared with a third party such as a parent or spouse. This form is required each academic year.

Spouse’s/Common-Law Partner’s Declaration, Consent and Signature Form (Full-time)
Required for married/common-law students submitting a full-time application.

Spouse’s/Common-Law Partner’s Declaration, Consent and Signature Form (Part-time)
Required for married/common-law students submitting a part-time application.

Verification of Eligibility Form for Students with Disabilities
Required for students applying as a student with a disability. The student must sign the consent portion of the form and have a qualified medical or educational assessor complete and sign the verification portion of the form.

Documentation

Birth or Baptismal Certificate
Required for each dependent child and must contain the names of both parents.

Canada Child Benefit Confirmation
Single parent students are required to confirm receipt of this benefit. Students can receive this confirmation by calling the Canada Revenue Agency at 1-800-387-1193.

Childcare Cost Confirmation
Students requesting reimbursement of childcare costs for dependent children 11 years or younger must submit a letter from the appropriate government department verifying they are not receiving a childcare subsidy.

StudentAidNL will first assess applications without childcare costs and will reassess once the student submits confirmation.

Common-Law Documentation
Students living in a common-law relationship may be required to submit a letter from an unbiased, unrelated third party who has personal knowledge of their living arrangements and can confirm the date of cohabitation. Confirmation from a landlord is not acceptable. The third party must provide their contact information, occupation and their relationship to the student; affidavits are not acceptable.

Dependents with Special Needs
Students who have dependent(s) 12 years of age or older with a permanent disability must submit proof of the dependent’s permanent disability in the form of a medical certificate or documentation confirming receipt of federal or provincial disability assistance.

Students requesting childcare costs dependent(s) 12 years of age or older with a permanent disability must submit a letter from a physician confirming that daily care is required and receipts verifying the amount claimed.

Students with dependent(s) 18 and older who is dependent by reason of mental of physical infirmity must have claimed the wholly dependent person for tax purposes and the Canada Revenue Agency (CRA) must have accepted the person as being wholly dependent upon the borrower or their spouse/common-law partner. For dependents 18 and older, a copy of the most recent tax form substantiating CRA approval of the wholly dependent person is required.

Employment Insurance Information
Confirmation of Employment Insurance Benefits is required. Students can obtain confirmation from “My Service Canada Account”.

Information from One Parent
Students requesting to have the financial information of only one parent/guardian considered in their assessment must submit an explanation from the parent with whom they live explaining why the second parent’s information is not available and demonstrating there is no relationship between the student and the absent parent.

Note: The refusal of a parent to contribute to the cost of post-secondary education is not an acceptable reason to have parental contribution waived.

Pre-study period information
The pre-study period is up to 17 weeks before the start of full-time studies for the current academic year (see the table below). For example, if a student finishes high school in June 2023 and starts post-secondary studies in September, their pre-study period is the time between the day they finished high school and the start of classes in September, about 9 weeks.

Students must submit their ICF on the first day of classes if they have a pre-study period.

*A break between studies that is less than four weeks is not considered a pre-study period.

Protected Person Status Documents
Protected persons must submit a Notice of Decision issued by the Immigration and Refugee Board or the Verification of Status document issued by Immigration, Refugees and Citizenship Canada. (Protected Persons Status documents issued prior to January 2013 are acceptable as well).

Note: Students designated as a protected person are required to obtain and submit a copy of a temporary SIN card showing a valid 900 series SIN through Service Canada.

Permanent Resident Documents
Students who are Permanent Residents must submit a copy of one of the following when applying for student financial assistance:

  • A copy of their Permanent Resident Card (PRC);
  • A Landing Document;
  • Confirmation of Permanent Residence Certificate; or
  • A letter from Immigration, Refugees and Citizenship Canada (IRCC) confirming their permanent resident status.

Applications for Permanent Resident Cards are available through Immigration, Refugees and Citizenship Canada.

Scholarship Verification
Students in receipt of a scholarship must submit confirmation of the amount and disbursement schedule from the source of the scholarship.

Spouse with Disability Confirmation
Students who have a spouse in receipt of federal or provincial disability benefits must submit confirmation.
