Requests for Confirmation of Registration – Heating Oil Storage Tanks

General Registration Procedure

After a heating oil storage tank is installed the regulations require that it be inspected by a licensed inspector prior to fuel being added to the tank.  Should the installation meet all requirements the licensed inspector can then attach a metal registration tag (i.e. HOST tag) to the tank’s vent pipe and provide the owner with a certificate of registration.  During the inspection the licensed inspector is also required to gather inspection information and provide this information to the department.  Once this information has been received, and assuming that it is complete, accurate and meets the requirements of the regulations, the tank system would be considered registered.

Confirmation of Registration

A confirmation of registration is a document generated by the department using the information submitted to the department by a licensed inspector.  This document is often required by an insurance company to insure a home or by a lawyer\realtor when selling\purchasing a home.  That said, a request for a confirmation of registration can be made at any time.  If a confirmation of registration is needed, the following details are necessary to process that request:

  • HOST tag number (six digits in length) – this number can be found on the HOST tag attached to the tank’s vent pipe (outside);
  • stamped expiry date (format MM-20YY) – this expiry date should also be found on the HOST tag attached to the tank’s vent pipe (outside);
  • street address, including street number;
  • community; and
  • postal code

Please note that the HOST tag should have a numeric month and year stamped on the tag.  The photo to the left shows an expiry of 7-2028, which means that the tank can no longer be used after July 31, 2028.  Should there be concerns regarding the stamping of a HOST tag, or should this tag be missing from the tank’s vent pipe, please email PetroleumStorage@gov.nl.ca.  A photo of the HOST tag, or tank’s vent pipe showing where the HOST tag was located, should be included with the email.

Prior to issuing a confirmation of registration the information submitted by the licenced inspector is reviewed by a department employee.  This is done to ensure that the details submitted by the inspector match the actual installation, including the street address.

Although photos are not normally requested by the department, they may be necessary for review should there be issues or concerns.  It is recommended that the following photos be taken, especially if travelling is required to get the HOST tag details noted above:

  • HOST tag showing HOST number and the month and year stamped;
  • ULC label showing the metal thickness, date manufactured and manufacturer (full length);
  • the entire tank to show if the tank is located inside or outside;
  • the outlet (valve) where the product leaves the tank to show if it’s end, top or bottom outlet; and
  • the front view of the home.

Requests for a confirmation of registration should be made to PetroleumStorage@gov.nl.ca.  The details listed above the photo will be necessary to process the request.  Please allow a minimum of three working days to process.  There is no fee associated with providing this document.
